We at Theraveon Inc. ("Theraveon", "we", "us", "our") are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and process personal data when you use Voice Platform, Voice Agent, our website at www.voice-platform.co, APIs, and related services (collectively, the "Services").

Please read this policy carefully. By accessing or using the Services, you acknowledge this Privacy Policy.

This Privacy Policy does not apply where Theraveon acts solely as a processor on behalf of a business customer under a separate customer agreement.

1. Personal Data We Collect

We collect the following categories of personal data:

A. Data you provide directly

  • Account and profile data, such as name, email, sign-in metadata, and MFA settings.
  • Business setup data, such as business profile details and playbook configuration.
  • Call workflow data, including call metadata, transcripts, summaries, and structured call data.
  • Integration data from connected services, such as calendar, scheduling, or commerce tools.
  • Billing and subscription data. Payment card handling is performed by payment providers.
  • Support and communications data, including messages, requests, and feedback you submit.
  • Phone numbers, text messaging preferences, and SMS consent, help, or opt-out records related to transactional text messages.

B. Data we receive from service usage

  • Device and browser information.
  • Log and telemetry information, including IP address, request identifiers, and error data.
  • Usage information, such as feature interactions and activity timestamps.
  • Cookie and similar technology data used for session handling, security, and analytics.
  • Approximate location inferred from IP for security and performance purposes.

C. Information we do not intentionally collect

  • We do not intentionally collect children's personal data through the Services.
  • We do not intentionally request sensitive personal data beyond what is necessary to operate the Services.

2. How We Use Personal Data

We use personal data for purposes such as:

  • Provide, operate, maintain, and improve the Services.
  • Create, manage, and secure accounts and authentication flows.
  • Process call workflows and deliver outputs such as transcripts, summaries, and structured call data.
  • Support integrations and customer-requested workflows.
  • Send requested or expected transactional text messages, such as security/MFA codes, order payment links, service notices, and help or opt-out responses.
  • Process subscriptions, invoicing, and billing support operations.
  • Compute and reconcile usage records for billing and invoicing calculations (including included minutes and overage usage).
  • Detect, prevent, and investigate abuse, fraud, policy violations, and security incidents.
  • Communicate service notices, product updates, and support responses.
  • Comply with legal obligations and enforce legal rights and agreements.
  • Use aggregated or de-identified data for analytics, research, and product improvement.

3. How We Share Personal Data

We may disclose personal data in the following circumstances:

  • Service providers and infrastructure partners supporting operation and delivery of the Services.
  • Payment and billing providers for subscription and invoice operations.
  • Integration providers you authorize to connect with your account.
  • Affiliates under common control with Theraveon, consistent with this Privacy Policy.
  • Business account administrators, where applicable for organization-managed accounts.
  • Government authorities or other parties when legally required or to protect rights and safety.
  • Counterparties in a merger, acquisition, restructuring, financing, or asset transfer.
  • Other parties when you direct us to share information or provide consent.

We do not sell personal information for monetary consideration.

We do not sell, rent, or share mobile phone numbers or SMS opt-in consent data with third parties or affiliates for marketing or promotional purposes.

4. Google User Data and Limited Use

If you connect a Google account or Google Calendar integration, Voice Platform may access Google user data only as needed to provide the user-facing features you request.

Google user data we may access includes:

  • Google account information used for sign-in, when you choose Google sign-in.
  • Google Calendar data, such as calendar list and metadata, selected calendar ID, availability data, and event data needed to create, update, reschedule, or cancel bookings requested through the Services.

We use Google user data to authenticate you, connect authorized calendars, show available calendars, check availability, and complete calendar actions that you request.

Voice Platform's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data for advertising, retargeting, personalized advertising, interest-based advertising, selling data, data brokerage, information resale, creditworthiness, lending, training AI or machine learning models, or creating unrelated databases.

General analytics, research, or product-improvement statements in this Privacy Policy do not apply to Google user data except where the use is necessary to provide, maintain, secure, or improve the Google-connected feature you use.

We share Google user data only with service providers necessary to provide or secure the Services, comply with law, or complete actions you request. We do not transfer Google user data to third parties for advertising or unrelated purposes.

We retain OAuth tokens, integration settings, and Google data only as long as needed to provide the connected feature, maintain security, comply with legal obligations, or until you disconnect the integration or request deletion, subject to legal and security requirements.

5. Retention

We retain personal data for as long as necessary to provide the Services and support legitimate business needs, such as legal compliance, safety, dispute resolution, and agreement enforcement. Retention periods vary based on data type, sensitivity, and applicable law.

When personal data is no longer needed, we apply deletion, de-identification, anonymization, or equivalent controls as required by applicable law.

6. Security

We use commercially reasonable technical, organizational, and administrative safeguards designed to protect personal data against unauthorized access, disclosure, alteration, misuse, and loss.

No system is perfectly secure. You should use care when deciding what information to submit through the Services.

7. Your Rights and Choices

Depending on your location and applicable law, you may have rights regarding your personal data, including:

  • Access to personal data we hold about you.
  • Correction of inaccurate or incomplete personal data.
  • Deletion of personal data, subject to legal exceptions.

You may also have a right to appeal our response to your privacy request and a right not to be discriminated against for exercising privacy rights. You may use an authorized agent where permitted by law, subject to verification requirements.

8.2 EEA, UK, and Similar Rights

If you are located in the EEA, UK, or another region with similar privacy frameworks, you may have rights to access, rectify, erase, restrict, object to certain processing, and request portability of your personal data, subject to legal limitations.

Where required, we process personal data under one or more legal bases, including contract necessity, legitimate interests, legal obligations, and consent. If processing is based on consent, you may withdraw consent at any time, without affecting prior processing.

Theraveon may process personal data in the United States and other countries where Theraveon or its service providers operate. Where required by law, we use appropriate cross-border transfer safeguards.

We may update this Privacy Policy from time to time. When we do, we will post the updated version and revise the "Last updated" date at the top of this page. Continued use of the Services after updates indicates acceptance of the updated policy.
